Major updates to the AI Colleagues platform this month — from AI-powered AOP generation to expanded integrations, management tools, and execution visibility.
Capability Discovery
Employees can now instantly understand what Leena AI Virtual Assistant can help them with. When users create a new chat, they see a personalised welcome message with suggested actions (prompts) — making it easier to get started and discover relevant capabilities. Supported on Web-app, Desktop app, Mobile app, and native MS Teams.

Flat-List Skills/AOPs Selector within AOP Instructions
Quickly reference AOPs or Skills within your AOP instructions using @ — now with a streamlined flat-list dropdown for easier selection. No more nested menus or complex navigation.

Register External MCP Servers as Skills
Connect external MCP (Model Context Protocol) servers and register them as skills for your AOPs, expanding your AI Colleague's capabilities beyond native integrations. This opens up a wide range of third-party tools and services that can be plugged directly into business processes.

AOP Creator — Build Business Processes with AI
Building AOPs just got a whole lot easier. You can now describe your business process in plain English and let AI generate a fully structured AOP for you — no more manually filling out forms and adding step-by-step instructions one by one. Simply describe the business process in the text area, hit Generate AOP, and get a ready-to-review AOP complete with a built-in validation check that catches errors (like placeholder skills) and surfaces warnings for optional improvements. Use the Improve AOP button to let AI refine it further.
AIC and AOP Management
Managing your AI Colleagues and AOPs is now more flexible — you can clone, transfer, and delete AOPs, as well as delete AICs directly from the kebab menu. These operations make it easy to iterate on business processes and maintain a clean workspace.
Debug Console & AI-Generated Run Summary
A Debug Console CTA and an AI-generated Run Summary of the entire execution timeline have been added inside Run History. This provides full transparency into each run, along with detailed documentation support through the timeline — making it significantly easier to understand what happened during execution and troubleshoot issues.

Voice Calls Analytics Page
A dedicated Voice Calls section is now available in Bot Analytics for bots with voice calling enabled. This section provides comprehensive visibility into voice call performance and engagement. The page is visible only when voice calls are enabled for the bot.
Key Metrics:
- Voice calls completed — Completed calls vs total connected calls
- Voice call users — Users with completed calls vs total active users
- Effective voice calls — Calls with at least one handled query vs completed calls
- Voice call connection rate — Percentage of successfully connected calls
- Total & Average call duration, Average user messages per call
- Voice calls over time — Trend of connected vs completed calls
All metrics support drill-downs to user-level and call-level details.
Onboarding
Task Creation in Onboarding Settings
You can now create and manage onboarding tasks directly from the Unified Dashboard — no more API calls needed. This brings task management into the same interface where you manage everything else, making onboarding setup faster and more accessible for admins.
Skills (Workflows) Studio
Auto-Fill for Test Actions
Testing actions just got faster. You can now auto-fill the test action form with a single click using configured values from action details. Automatic resolution of data centre keys from other node test data and global constants means no more manually hunting down and copy-pasting values.

Data & Notifications
Notification Analytics Improvements — Upgraded tracking system now provides better visibility into delivery performance. High-level metrics also show an indicator for total number of unique users for which the metric is available.

Employee Sync via API — Core data infrastructure is now more robust with the launch of Employee Data Sync via API. Includes specialised handling for single-user sync and specific user parameters, ensuring employee data across the Unified Dashboard remains accurate and up-to-date with minimal manual overhead.

Privacy Policy Dashboard — Now clearly separates Accepted, Rejected, and Deleted users and supports exportable logs for compliance and audit purposes.
Channels & Experience
Microsoft Teams Setup on Unified Dashboard — You can now configure MS Teams directly from the Unified Dashboard. The system bridges your Leena Flow Dashboard (bot logic) and Unified Dashboard (branding) and generates a ready-to-install Teams App package (.zip), completely automating the permissions setup and zip file creation process. All required steps for the Microsoft Admin Portal and user guide are available intuitively within the UI.
Note: Existing Microsoft Teams configurations have not been migrated to this new setup yet (to be completed by 6 Feb)
Improved Slack Experience — Automatic handling of Slack assistant mode vs traditional bot mode (no internal manual flags needed). New intro experience with a welcome message and configurable quick actions powered by the capability discovery engine. Also includes improved backend handling for AI disclaimers, resolved issues with cropped images, and removed redundant thread disclaimers.
Timezone-Aware Notification Delivery — Notifications now respect user timezones, ensuring messages reach your team at the most appropriate time.
Design System Refresh — Updated typography across the VA Design System and all webviews for a cleaner, more modern reading experience.
Channel Reliability (Workvivo & SMS) — Workvivo assistant responsiveness issues resolved and analytics payloads corrected. SMS notifications no longer get stuck in a "Pending" state.
Security & Infrastructure
MS Teams Client Secret Automation — Automated the MS Teams client secret expiry process, preventing unexpected service interruptions for the Teams integration.
Hardened Security — Critical fixes for Desktop App vulnerabilities included in this release.
Graceful Deployment — Better handling for socket disconnections during deployments, ensuring system updates don't disrupt active work.
Bug Fixes & Stability
- Resolved an issue where the Employee Data tab failed to open for specific user profiles
- Fixed "null pointer" errors in the web app
- Improved mobile app stability, including fixes for view policy errors and a new fallback mechanism for missing icons
- Template pagination, notification filters, and push notifications on Teams are now more reliable
Knowledge Management
Path based Access Control in Knowledge Management
The Path-Based Access Control (PBAC) system enhances security by allowing Admins to enforce granular document visibility through a combination of file path keywords and specific user attributes like country or designation. Utilizing OR logic for flexible permission evaluation across departments, the system "stamps" these access rules onto articles during a manual sync process to ensure high-performance enforcement during active user queries. While configurations are fully editable in Production, the UAT/Staging environment acts as a read-only mirror to maintain architectural consistency. Ultimately, this creates a closed-loop security system where a user can only retrieve information if their profile parameters—such as being a "Manager" in "India"—exactly satisfy the document's stamped criteria at runtime.
Path-based Access Control in KM
Partial Sync in Knowledge Management
The Knowledge Management sync process has transitioned to a Partial Sync model, designed to ensure that individual file errors do not block the entire knowledge base from updating. Under this new system, sync statuses—Successful, Partially Synced, Failed, or In-Progress—are determined by the success rate of the "Fetching" phase. To help users troubleshoot, a new granular error side-sheet categorizes issues into Critical Fetching Issues (such as permission denials or missing files) and Non-Critical Content Processing Issues (such as unsupported file formats or sizes exceeding 200MB). Users can resolve these discrepancies by referring to the Error Action Guide, which recommends specific fixes like updating access permissions, converting file types, or reducing file complexity to maintain a healthy and up-to-date knowledge base.
