Enhanced Sync Visibility & Statuses

The Knowledge Management sync process has been upgraded to a Partial Sync model. This ensures that a single problematic file does not block your entire knowledge base from updating.

Understanding Sync Statuses

The status of a sync job is now determined by the success rate of the "Fetching" phase:

Failed0 files were fetched OR a Global Error (like Authentication failure) occurred.
In-ProgressThe system is currently fetching or indexing your content.



Detailed Error Reporting (Side-sheet)

Clicking on any Satus in the Sync Logs table opens a Granular Error Side-sheet. To help you prioritise fixes, errors are grouped into two distinct categories:

1. Fetching Issues (Critical)

These errors occur during Step 1 (Ingestion). They prevent the file from reaching the Leena AI system and are the primary cause of "Partially Successful" statuses.

  • Site Level: If a whole SharePoint Site or Confluence Space fails (e.g., PERMISSION_DENIED), it is listed at the top.
  • Article Level: Individual files that failed. These errors are categorised into different grouped based on error type.

  • Global Failure: If the whole sync fails, you shall see the reason for this in the side sheet.

  • Common Fixes: Granting "Read" access to the Leena AI service account or restoring files that were moved/deleted (NOT_FOUND).

2. Content Processing Issues (Non-Critical)

These files were successfully fetched but failed during Step 2 (Parsing) or Step 3 (Indexing). These do not cause affecrtoverall sync status to fail.

  • File Too Large: Files exceeding 200MB.
  • Unsupported Format: Files like .mov or .zip that cannot be indexed for text search.


Error Action Guide

Use the table below to resolve common issues identified in your Sync Logs:
