Setting up schedules

Accessing Schedule Creation

  1. Navigate to Workbench

    • Click on "Workbench" in the left navigation menu
    • You'll see the "List of schedules" interface with existing schedules

  2. Initiate Schedule Creation

    • Click the "Create schedule" button in the top-right corner
    • The schedule creation form will open

Create a new schedule

Basic Schedule Configuration

Step 1: Basic Details

Name of Schedule

  • Provide a descriptive name that clearly indicates the purpose
  • Example: "Check application access", "Daily attendance review", "Monthly compliance audit"
  • Best Practice: Use consistent naming conventions across your organization

AI Colleague Selection

  • Choose which AI Colleague will execute this schedule
  • Example: "AURA" (as shown in screenshots)
  • The dropdown shows all available AI Colleagues in your system

AOP Selection

  • Select the specific AOP that should be executed
  • Example: "Grant application access for employees"
  • Only AOPs associated with the selected AI Colleague will be available

Step 2: Schedule Type Configuration

Schedule Type Options:

  1. Non-recurring (One-time execution)
  • Use for one-off processes or specific date requirements
  • Configuration:
    • Select time zone (e.g., "Select time zone")
    • Choose specific date and time (e.g., "Select date and time")
  1. Recurring (Repeated execution)
  • Use for ongoing business processes that need regular execution
  • Configuration Options:
    • Frequency Settings: Set how often the schedule repeats
      • Days: Daily execution
      • Weeks: Weekly execution
      • Months: Monthly execution
    • Repeat Interval: Specify the interval (e.g., every 1 day, every 2 weeks)
    • Time Zone: Select appropriate time zone (e.g., "(UTC +05:30) Asia/Kolkata")
    • Execution Time: Set specific time (e.g., "22:23:18")

Schedule setup

End Date Settings

  • Select Date: Choose when the recurring schedule should stop
  • Set Occurrences: Specify number of times the schedule should run
  • Example: End on "Nov 30, 2025" for a finite schedule

Time and Zone Settings

  • Time Zone Selection: Choose appropriate time zone for your business location
  • Execution Time: Set precise time using 24-hour format
  • Consideration: Choose times that avoid peak business hours for resource-intensive processes
