Types of Notifications

Notifications can be categorized into a variety of different categories based on channels of communication, frequency, and the type of Call-To-Actions defined.

Based on channels of communication

  • Bot Notification - Notifications created and scheduled from this section will be received by your employees on the Leena AI virtual assistant (web, desktop app, and mobile app).
  • Mobile Push Notification - When a bot notification is sent, employees who have the Leena AI mobile app installed will also receive a native push notification on their device. Mobile push is bundled with the bot notification — there is no separate setup or configuration required. The push title and body are derived from the notification content (title is trimmed to 64 characters, body to 240 characters), and the user is deep-linked into the corresponding chat on tap.
  • Email Notification - Notifications created and scheduled from this section will be received by your employees on the email IDs registered with Leena AI. Email content is rendered using branded templates and supports rich content, attachments, and call-to-action buttons.
  • SMS Notification - Notifications can be sent as SMS to employees' registered phone numbers. SMS supports both transactional messages (e.g., OTPs, reminders) and bulk/promotional messages. SMS body supports dynamic variables (e.g., {{employeeName}}, {{otp}}) and automatically detects Unicode content for multi-part message handling.
  • WhatsApp Notification - Notifications can be sent over WhatsApp using the WhatsApp Business API (via Infobip or Gupshup). WhatsApp delivery follows two modes:
    • Template-based (HSM) — Pre-approved Highly Structured Messages with placeholder variables ({{1}}, {{2}}, etc.) are used when the recipient is outside the active 24-hour session window. All HSM templates must be approved by Meta before they can be sent.
    • Session-based (Free-form) — Plain-text messages, media, and quick replies can be sent only when the recipient is within an active 24-hour session (i.e., they have messaged the bot within the last 24 hours).
  • MS Teams Notification - Notifications can be delivered directly into employees' Microsoft Teams Activity Feed via the Leena AI Teams app. Requires the Teams channel to be configured (see Microsoft Teams (Tab App) Setup).
  • Slack Notification - Notifications can be delivered as direct messages on Slack via the Leena AI Slack app. Requires the Slack channel to be configured (see Slack Setup).
  • Google Chat Notification - Notifications can be delivered as direct messages on Google Chat. Requires the Google Chat channel to be configured (see Google Chat Setup).

Channel availability

The channels available to you in the Notifications dashboard depend on which channels have been configured for your bot. For example, the WhatsApp option will only appear if the WhatsApp channel has been set up with valid credentials. To configure a new channel, refer to the Channel Setup section under Admin Dashboard.

Based on frequency

  • Single Send Notifications - The notifications created and scheduled as Single Notifications will be triggered for your employees at the scheduled time only once per notification. You can send single send notifications on both Leena AI virtual assistant (via bot notification) and emails (via email notification).
  • Recurring Notifications - The notifications created and scheduled as Recurring Notifications will be triggered for your employees based on your defined pattern. You can create a recurrence pattern consisting of at least 2 instances and a maximum of 100 instances. You can send one-time notifications on both Leena AI virtual assistant (via bot notification) and emails (via email notification).

Based on the type of actions you can define for your employees

  • Standard Notifications - These notifications can only be triggered as bot notifications. These are the default notifications for bot notifications and generally consist of a Message, Attachments (optional), Call to Action for employees (optional) like virtual assistant actions, long descriptions, and external links. Please note, both Call to Action and attachments are optional for standard notifications.
  • Poll Notifications - These notifications can only be triggered as bot notifications. You can choose to create poll notifications. A typical poll notification consists of a Message, Attachments (optional), and Poll options. Please note, adding at least 2 poll options is mandatory while creating poll notifications. It is recommend to keep poll options ≤5.
