Folder Level Audience Management

Problem Statement

KM users are not able to add audiences to multiple articles in a folder at the same time (in bulk).

Solution Statement

We have introduced the feature of "folder level audience" where KM admins can add/edit an audience in a folder, which will then be applied to all articles within that folder.

Note: Folder level audience is a way to apply an audience to bulk articles. The audience will continue to exist and work at the article level only. This means user permission will still be checked for each individual article inside the folder.


Users

This feature will only be available to KM admins, as this action can impact the audience of currently published articles.


How to Access "Folder Level Audience"

  1. Navigate to any folder.
  2. Click the 3-dots menu (...) next to the folder name.
  3. Select "Manage Audience".

  1. In the manage audience section, users can define the configurations for the folder level audience.


Notes

  • By default, the folder level audience is set to "All users". This implies that any new article added to this folder will have an "All users" audience. However, owners can edit this audience within the article. The article-level audience always has precedence over the folder-level audience.
  • If articles are present in more than one state (i.e., both Published and Drafts), users can also choose the article states to which they want to apply the bulk audiences.
  • If a user chooses only "Drafts" in the article state selection, this will not affect the audience of already published articles. The published articles, even when moved back to a draft state for editing, will retain their original audience.
  • Users can also choose to apply these settings to child folders.
