Branding Customization
Personalise your AI assistant's appearance by setting a custom name, uploading a branded avatar, and configuring theme colours that match your organisation's identity. These settings control how the bot looks and feels for every employee who interacts with it.
Accessing the Settings
Navigate to Settings → Virtual Assistant → Settings (You must have the Config Manager role to access and modify these settings). This opens the Virtual Assistant configuration page to customize the below

Setting the Bot Name
Under the Customise Webapp Theme section, locate the Name of chat assistant field. Enter the name you want employees to see in the chat header (e.g., "HR Buddy" or "Leena AI Enterprise Assistant"). This field is mandatory.
Configuring Theme Colours
Default Theme (Mandatory)
Every bot must have a default theme. This theme applies to all users unless overridden by an audience-specific theme.
Within the Theme configuration area, the Default theme card contains the following options:
Theme primary colour — Pick a colour using the colour picker or enter a hex code (e.g., #0f72ee). This colour is applied across the chat interface — in the header accent line, bot message icons, CTA buttons, quick-reply borders, and other interactive elements. After selecting a primary colour, choose between two shade variants:
- P-80 — A deeper, higher-contrast shade of the primary colour (recommended default for better readability).
- P-50 — The primary colour at its original intensity.
User message bubble colour — Controls the background colour of the employee's own chat bubbles. A live preview ("This is a sample user bubble with bg") is displayed inline so you can see the result immediately.
Chat window background — Choose between:
- Colour — A solid background colour for the chat area.
- Image — Upload a custom background image (e.g., a branded doodle pattern). Supported formats are PNG and JPG.
A preview is shown on the configuration page itself so you can verify how the theme and chat bubbles will look before saving.
Audience-Specific Themes (Optional)
You can optionally create different themes for specific bot audiences. Click the + Audience theme button next to the theme dropdown to add a new audience override. Select the target audience from the dropdown, then configure the primary colour, user bubble colour, and chat background independently for that audience.
Users who belong to multiple audiences will see the default theme. Audience themes override the default only for users in that specific audience group.
Note: The default theme cannot be deleted. Audience-specific themes can be removed using the Remove customisation option.
Uploading the Bot Avatar
Scroll down to the Customise Bot User Interaction section. The Bot avatar field lets you upload the image that appears next to every bot message in the chat.
- Supported formats: PNG, JPG
- Upload a single file that represents your brand (e.g., your company logo mark or a custom bot icon).
- Once uploaded, the avatar appears in every bot response bubble alongside the branded primary colour.
How Branding Appears on the Bot
Once you save your configuration, the following elements reflect your branding on the employee-facing chat interface:

Header — The bot name appears as the page title. A coloured accent line in your primary colour is displayed beneath the header.

Chat Window

- Bot message bubbles — The bot avatar you uploaded appears next to each response. Interactive elements (quick replies, CTA buttons, carousels) pick up the primary colour as an accent.
- User message bubbles — The employee's messages appear in the user bubble colour you configured.
- Chat background — Your chosen solid colour or background image is applied to the conversation area.
