Knowledge Management (KM) Publishing Guide

1. Accessing the Dashboard

  • Navigate to the KM Dashboard.
  • Go to the Articles page.
  • Click the Add New button.
  • Folder Structure: Under the root category "All Categories," users can build a custom folder hierarchy by adding new categories.

2. Content Types

Inside a category, click Add New to select one of the following five options:

ArticleCreate content from scratch using the built-in text editor.
Web ArticleAdd a specific webpage. Note: This does not fetch child pages. Use "Web Integrations" in KM Settings for full site crawling.
Upload ArticleUpload a single file (PDF, DOCX, XLSX, JPEG, PNG, CSV, or PPT).
Bulk UploadUpload multiple files simultaneously in the formats listed above.

3. The Upload & Parsing Process

After filling out the required form and uploading a file, the article enters the Draft state.

Parsing Mechanism

Parsing is the process of extracting HTML content from uploaded documents.

  • PDF/DOCX/PPT: Leena AI converts DOCX and PPT files to PDF, then processes them using PDF Parser models.
  • Excel/CSV: These files are converted into a SQL database format.
  • Exceptions: Images, Written Articles, and Web Articles are not parsed.

Draft Capabilities: While in "Draft," users can view/edit the uploaded document (editing is PDF only), modify parsed content, update metadata, and manage FAQs or target audiences.

4. Review and Approval

  1. Submit for Review: Once the draft is finalized, move the article to the In-Review state by assigning article approvers.
  2. Notification: Approvers receive a notification and can locate the item on the Home page Kanban board.
  3. Decision:
  • Approve: The article moves to the Published state.
  • Reject: The article returns to the Draft state for revisions.
  • The article owner is notified of the outcome in both scenarios.

5. Final Synchronization

Once published, an automatic sync triggers with the Virtual Assistant. This updates Leena AI’s internal NLP and Core services with the new content.
